Writing the invoice
Start an invoice from Home or straight from a customer. Pick someone you have billed before and their address fills itself in, or add a new name as you go.
Add labour and materials from your saved items, each with its own price and unit, or type a one-off line for this job only. Tax, discounts and the running total sit at the bottom of the screen as you work.
Sending it
Preview the PDF before it leaves, so you see exactly what the customer sees. Email it from the preview, and they open it from the email or the public invoice link. They do not sign up for anything.
Dates, reference, notes and terms all have sensible defaults. You can change them, but none of them stand between you and sending.
Keeping track
The invoices list marks each document as draft, awaiting payment, viewed, or overdue, and tells you when the customer opened it. From there you can send a reminder, duplicate an invoice for a repeat job, or collect payment.
Questions
Can I turn an estimate into an invoice?
Yes. Open the estimate and use Convert to invoice. The customer and the priced lines come across, so you are not starting from a blank page. This works on Free and Pro.
What if the customer has no email address?
You can still build, preview and save the invoice. Add an email when you want VanlyGo to send it, or share the public invoice link yourself.
How long does the invoice link stay open?
Public invoice and estimate links expire after 90 days. Send the document again from the app if a customer comes back to an old link.
Can I put my own branding on it?
Every account can add a business logo. VanlyGo Pro adds the Modern, Minimal and Bold templates, an accent colour, your own footer, and removes the VanlyGo footer.
